Without it

  • ×A customer walks in, and you verify their driving licence by holding it to the light — because the booking tool you bought did not think Indian KYC was a problem worth solving
  • ×Hourly, daily, and weekly rates are in a price list on the wall; discounts for returning customers are remembered by the counter staff; and your invoices always need a 'one more correction'
  • ×Insurance is due in 12 days on one car, fitness in 21 days on three cars, a permit expired last week on a fourth — and you find out when the RTO stops you at a checkpoint
  • ×The owner asks 'which cars made money last quarter' and nobody can answer without three days of pulling fuel bills, toll receipts, and servicing invoices out of different folders
  • ×A customer returns the car with a dent and 400 KM extra, and the final-bill adjustment happens on a calculator at the counter — with no audit trail the customer can trust

With Travel Softdrive

  • Government-verified driving licence, Aadhaar, and vehicle RC checks happen inside the booking flow — sourced directly from the issuing authority, not scanned JPEGs
  • Hourly, daily, weekly, and monthly rate cards with damage deposits, excess-KM charges, and late-return fees — applied automatically at billing
  • Compliance tracker flags insurance, fitness, PUC, and permit renewals with alerts weeks before expiry — and blocks booking of a vehicle whose documents have lapsed
  • Per-vehicle profitability dashboard aggregates revenue, fuel, servicing, insurance, EMI, and downtime into one P&L per car per month
  • Final bill adjustments — extra KM, damage, late return, fuel topup — are itemised on a GST-compliant e-invoice with full audit trail both sides can see

What's inside

Booking & availability management

Hourly, daily, weekly, and monthly reservations with availability calendars per vehicle. Blackout dates, buffer times between bookings, and overbooking prevention built in. Walk-in bookings and online reservations unified on one ledger.

Government-verified KYC

Verify driving licence and Aadhaar directly from the issuing government authority — sourced data, not scans. RC verification for any borrowed vehicles in the flow. Your compliance stops depending on a counter executive's eyesight.

GST invoicing with e-invoice IRN

Auto invoice at return with excess-KM, late-return, fuel topup, and damage-deposit adjustments itemised. E-invoice IRN generated live on the government portal, digital signature, QR code, and credit notes for deposit refunds — full GST compliance without leaving the platform.

Compliance tracker

Per-vehicle insurance, fitness, PUC, permit, and road-tax expiry tracking. Renewal alerts 30, 15, and 7 days before expiry. Vehicle booking is blocked automatically if any document has lapsed — no more RTO surprises.

Fleet profitability dashboard

Revenue, fuel, maintenance, insurance, EMI, permit, tyres, and downtime rolled into one per-car P&L. Utilization hours vs available hours. Sort your fleet by profit contribution; decide what to retain, replace, or retire.

Vehicle & garage management

Owned vehicle registry with make, model, fuel, transmission, and garage location. Vehicle groups for rate management; garage coordinates for accurate handover-distance billing; service-history attachments.

GPS tracking & geofence

Live vehicle positions, route playback, and optional geofencing that alerts when a rented vehicle leaves a defined zone. Odometer and fuel-level captures at handover and return — the excess-KM and fuel bills stop being a debate.

Damage deposits & final settlement

Collect damage deposits at handover with card or UPI; adjust and refund at return through credit notes; keep the audit trail intact. Disputed charges can be threaded with photos attached on the invoice itself — not over customer-care email.

In the real world

An 80-car Bengaluru self-drive operator

Kavita runs Wheelsense Self Drive in Bengaluru with 80 cars across five pickup points. Before Travel Softdrive, she ran her booking on a generic online-reservation plugin, her accounting on Tally, her compliance reminders on a whiteboard, and her per-car profitability on nothing at all. Then a car got stopped in Mysuru because its state permit had lapsed a week prior — the first warning she took seriously. After going live: every new booking triggers a government-linked DL verification before the car keys leave the counter. The Tuesday-morning handover of a Hyundai Creta to Mr. Verma for a 4-day Coorg trip starts with a damage-deposit swipe of Rs 5,000, odometer photo, fuel level logged, and an e-invoice draft generated in advance. The vehicle's permit, insurance, PUC, and fitness all show green on the compliance tracker — that car would not have been bookable if any were red. Mr. Verma returns on Saturday having driven 620 KM (pack included 400), returned with half tank (handed over full), and with no damage. The final settlement is computed automatically: excess-KM 220 x Rs 11 = Rs 2,420, fuel topup Rs 1,800, deposit refund Rs 5,000. The adjusted e-invoice with IRN is shared on WhatsApp in two minutes. That night, Kavita's dashboard shows the Creta's November month-to-date: revenue Rs 62,400, fuel Rs 9,100, servicing Rs 0, EMI Rs 18,500, utilization 74% — a profit contribution of Rs 14,200 with 10 days still to go. She knows which car to promote on the homepage, and which one to list for sale.

Frequently asked questions

Do you support hourly rentals alongside daily and weekly?+

Yes. Rate cards can be configured with hourly, daily, weekly, monthly, and custom-duration slabs. Minimum rental duration, buffer time between bookings, and overlap prevention are all standard. A Creta booked daily and a Baleno booked hourly can share the same rate configuration.

How does government-linked KYC verification actually work?+

At booking, the customer receives a consent link; on approval, verified DL and Aadhaar data arrive in the platform directly from the issuing government authority — not scans. For customers who cannot complete the government-linked flow, you fall back to manual upload, but the verified flag stays off until the government-sourced record is received.

Can we charge and refund damage deposits through the platform?+

Yes. Damage deposits are collected at handover via an integrated payment gateway or captured as a physical-mode entry. At return, the deposit is refunded through a credit note or adjusted against excess charges — both paths produce a clean audit trail the customer and your accounts team see.

We work with aggregators too — we list some cars on a marketplace. Can we handle our own direct and aggregator bookings in one place?+

Yes. Direct-channel bookings (walk-in, website, phone) sit alongside aggregator bookings ingested via email or API. Rate cards differ by channel; the compliance tracker and vehicle availability are shared so a car cannot be double-booked across channels. Per-channel profitability shows which partnership is actually worth it.

What about insurance claims after a rental accident — do you help with that paper trail?+

The platform preserves every relevant record — pre-handover odometer and fuel photos, KYC proofs, the signed rental agreement PDF, the GPS trail during the rental, and the final-return damage photos. That package is what insurers actually need for a claim; we give you one click to export it rather than a week of hunting.
